POSITION DESCRIPTION

Reporting to and working closely with the Director of Development, the Manager of Annual Giving & Donor Relations (The Manager) creates and executes the annual giving program and donor relations strategy to help grow The Ottawa Mission’s support and ensure its viability. He/She will proactively develop positive and productive relationships with existing and potential donors.

The Manager will be both a leader and practitioner in building a strong program.
The Manager will develop and implement an effective acquisition strategy, cultivation and upgrade program and build donor loyalty through effective donor relations and stewardship programs.

Scope & Dimension

FY2021-22 Overall Fundraising Goal: $9.6M

FY2021-22 Annual Giving Goal: $6.2M

The Manager is responsible for the overall management of all programs related to direct response and donor relations. These programs include direct mail, monthly giving, memorial giving, digital fundraising, public engagement, donor fulfillment, recognition and stewardship. They are charged with managing relationships and securing support from donors who are capable of making gifts on an annual basis.

The Manager will have direct staff management responsibility for three (3) Donor Relations (fulfillment) staff. He/She will provide direction and leadership to these positions and have accountability for the overall performance of the department. The Manager is also responsible for approving annual professional development activities of direct staff and providing input into annual compensation and performance merit increase decisions.

The Manager, as part of the accountability framework structure, must prepare a written workplan that will outline all activities in Annual Giving & Donor Relations. They will regularly update work plan to allow for changes to the plan and staffing and training needs.

The Manager is a team-oriented person, responsible for building and fostering solid relationships, networking opportunities and donor communication strategies both internally and externally.

The Manager solves problems by considering courses of action within the framework of existing policies and procedures. They know what needs to be accomplished can decide how to accomplish it. They may consider whether new methods need to be developed to achieve proper results. They deal with problems that involve interpretation and analysis to solve. They compile and evaluate data and key performance indicators to determine success.

The Manager needs to have well prepared plans for the current quarter and have a clear sense of what is to be accomplished in the year to come. There is periodic supervisory review of on-going processes and results of completed work.

Major Responsibilities

Management (This includes participating in the full employee lifecycle – from hiring to termination)

– Collaborate with the Director of Development to create the annual giving and donor relations strategy. The plan will include direct mail (acquisition and cultivation), monthly giving, memorial giving, digital fundraising, and donor relations;

– Oversee direct response communications to raise awareness of the positive work of the organization and increase charitable gifts;

– Develop and expand the monthly giving program;

– Provide leadership on developing donor personas and an integrated marketing strategy;

– Assess current priorities, workload, and resources, and establish an action plan ensuring that immediate needs are met while longer-term strategies, plans and actions are developed;

– Monitor and evaluate fundraising activities to ensure best possible use of resources and to ensure that fundraising goals are being met;

– Evaluate changing trends in philanthropy, adapting current programs and developing new programs in response to the philanthropic needs;

– Provide leadership to all donor fulfillment, recognition and stewardship activities;

– Collaborate with the communications team to develop all fundraising messages and associated resources including annual impact reports, newsletters, e-newsletters etc.;

– Oversee the administration of the donor database, and all associated administration including charitable receipting and ensure that the administration of the same meets all applicable legislation and standards;

– Analyze data and prepare reports tracking donor cultivation through the fundraising pipeline;

– Establish and leverage effective relationships with the senior management team and with their staff to ensure a proactive engagement in the programmatic agenda that facilitates effective development and fundraising closely aligned with the programmatic agenda.

– Participate in special assignments or projects as directed by the Director of Development;

– Foster a team environment by providing new employees with department level orientation, supporting direct staff in the identification of learning and development needs/opportunities and regularly meeting with them to discuss department initiatives and general organizational happenings;

– Initiate concrete and measurable goals and objectives for direct staff and provide guidance, coaching, motivation and support in attaining these goals;

– Proactively identify, communicate and manage people issues (performance, behavioural, personal, etc.) and, in collaboration with Human Resources and using progressive discipline if necessary, work with the employee to bring forward solutions; providing regular, timely and specific feedback on the quality of work completed;

– Responsible for completing an annual performance review for all direct staff. You will provide input into annual compensation and performance merit increases to be made to your direct staff

– Ensure an atmosphere of mutual respect and positive working relationships among staff, donors, and community organizations;

– Monitor and manage all aspects of Annual Giving & Donor Relations operations, including fiscal management and payroll;

– Be available on an emergency basis during off work hours.

Operations

– Develop and implement annual giving and donor relations strategies and plans;

– Focus on <$5,000+ pipeline development and growth;

– Develop and implement an effective moves management program and build donor loyalty through effective donor stewardship programs;

– Keep records up to date through Raiser’s Edge;

– Work closely with the Director and other members of the Senior Leadership Team to advance a culture of philanthropy and a donor-centered environment;

Budgeting, Scheduling & Payroll

– Prepare annual departmental budget in conjunction with the Finance Department;

– Maintain accountability and fiscal responsibility for the budget of the Annual Giving & Donor Relations department;

– Responsible for the scheduling of staff in a fair, equitable and timely manner;

– Reviewing and determining, based on operational needs, approval of all leave requests;

– Using schedules and leave reports, review and approve hours for direct staff, dealing with discrepancies as they arise. Input approved hours to be paid to payroll software and ensure timely submission to the Payroll department within established deadlines.

Education:

– University degree from an accredited post-secondary institution;

– Certified Fundraising Executive (CFRE) designation preferred

Experience & Qualifications:

– Minimum 5 – 7 years of fundraising experience with demonstrated achievement and leadership in key aspects of fund development, especially developing annual giving programs and public engagement strategies; donor relations and communications;  measuring performance.

– Proven experience developing successful annual giving programs;

– Demonstrated leadership and team building skills including experience in goal setting, motivating, leading, evaluating and developing a capable team of professionals;

– Experience collaborating with a variety of stakeholders, including agency partners and members of the senior leadership team;

– Possess strong managerial/operational skills with keen attention to detail;

– Excellent communications skills, both written and oral, appropriate to various audiences;

– Ability to develop and write strong donor communications;

– Exceptional interpersonal skills and demonstrated ability to build relationship with a variety of stakeholders;

– The ability to think strategically and connect fundraising with The Ottawa Mission’s outreach activities;

– Solid knowledge of computer programs, including Raiser’s Edge;

– Experience with donor receipting processes in accordance with Canada Revenue Agency (CRA) regulations;

– A commitment to the values and vision of The Ottawa Mission;

– Must have a valid driver’s license with a clean abstract

– Bilingualism (English/French) considered an asset.
